1. Who we are

Digital Ways and E-Solutions (ABN 15 630 390 822) (we, us, our) operates Digital Boss at digitalboss.com.au. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains how we collect, use, store and disclose personal information.

2. Information we collect

  • Account details: your name, business name, ABN, email address, phone number and chosen workspace address.
  • Billing details: plan, invoices and payment history. Card and account payments are processed by Stripe or PayPal. We do not store full card numbers.
  • Consent records: the date and time you accepted our Terms and this policy, the versions accepted, your IP address and browser details.
  • Usage and technical information: log-in records, IP addresses, browser type and activity logs, used for security and support.
  • Communications: messages you send us, including through our contact form.

3. Information you store in your workspace

You may enter personal information about your customers, contacts, suppliers, contractors and staff, such as names, contact details, payment and payroll records. We handle this information on your behalf only to provide, secure and support the Service. You are responsible for having a lawful basis to collect it and for telling those people how you use it. We do not sell it or use it for our own marketing.

4. How we use personal information

  • to review account requests, create and manage workspaces;
  • to provide, maintain, secure and improve the Service;
  • to bill you and keep financial records;
  • to respond to support requests and send service notices, such as security, billing and account emails; and
  • to send product news and offers, but only if you have opted in. Every marketing email has an unsubscribe link, in line with the Spam Act 2003 (Cth).

5. Storage and security

Workspace data is hosted with Amazon Web Services in Sydney, Australia. Each customer's workspace is kept in a separate database. We use encrypted connections, access controls, hashed passwords and regular backups to protect personal information from misuse, interference, loss and unauthorised access.

6. Disclosure, including overseas

We disclose personal information only as needed to run the Service, to:

  • our hosting provider (Amazon Web Services, Sydney);
  • our email delivery provider, for account and service emails;
  • payment processors Stripe and PayPal, for payments; and
  • professional advisers, or authorities where required by law.

Some of these providers may process information outside Australia, including in the United States. Where that happens, we take reasonable steps to ensure they handle it consistently with the APPs.

7. Cookies

We use cookies needed to keep you signed in and to protect forms from misuse. We do not use advertising cookies.

8. Access and correction

You can view and update most account information in your workspace. You can also ask us for access to, or correction of, the personal information we hold about you by emailing digitalboss@digitalways.com.au. We will respond within 30 days.

9. Data breaches

If a data breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.

10. Retention

We keep personal information for as long as needed to provide the Service and meet legal obligations, including tax record-keeping. After an account ends, workspace data is kept for at least 30 days so an export can be requested, and may then be permanently deleted. Unconfirmed account requests are deleted after 7 days.

11. Complaints

If you have a privacy concern, email digitalboss@digitalways.com.au. We will acknowledge your complaint and aim to resolve it within 30 days. If you are not satisfied, you can contact the OAIC at oaic.gov.au.

12. Changes to this policy

We may update this policy. The version and date are shown on this page, and material changes will be notified by email or in the Service.
